Ask your intranet a question. Get a sourced answer.
Knowledge Hive turns the documents, emails and files you already have into a trusted Corporate Brain. Ask in plain language and get a cited answer — drawn only from what each person is allowed to see, on infrastructure you control.
What is our policy on early repayment of fixed-rate loans?
Early repayment is allowed after the first 12 months. A fee of up to 1.5% of the amount repaid applies1. The fee is waived where the repayment follows a verified hardship event2.
I can’t find a business-loan rule in the documents you can access, so I won’t guess.

The problem
What scattered knowledge costs you.
Knowledge is scattered
Policies, SOPs and contracts sit across SharePoint, shared drives and inboxes. People spend time hunting, ask a colleague, or guess.
Generic AI can’t be trusted
Public assistants answer fluently without sources, can’t tell who may see what, and send your content outside your walls.
Search gives links, not answers
Keyword search returns a pile of documents. Someone still has to read, compare and decide.
Built-in assistants miss a lot
Built-in AI assistants often reach only some teams — and decades of email, scans and large spreadsheets fall outside what they handle well.
The answer
What Knowledge Hive does.
Cited, checked answers
Every answer shows its sources and is checked against them before you see it. If the sources do not say, it says so.
Respects permissions
People only get answers from content they are allowed to see, mirroring the access rules of your source systems.
Understands real documents
Reads PDFs, Word files, spreadsheets, presentations, scans, tables, images and email archives — not just clean text.
Yours to run
Runs in your environment, on the models you choose: commercial, open-source hosted or self-hosted. One for everything or a mix by task. No lock-in.
Two ways to start
Start with your intranet, or your inbox.
Two entry points to the same product. Pick the one with the clearest business question behind it — the other becomes your next step.
SharePoint
Ask your intranet
Your intranet already has the answer. Now your staff can just ask it.
Answers from
Policies, SOPs, HR and procurement documents
Pain it solves
Staff can’t find the right document, so they search, ask around, or guess
Built for
CIO, plus HR and Operations
Every answer cites the exact page it came from
Works on the SharePoint you already run — nothing migrated
Staff only see answers from documents they are allowed to open
Email
Company email memory
Your inboxes are your company’s memory. Now you can ask them a question.
Answers from
Shared inboxes (info@, sales@), department mailboxes and central email archives — attachments included
Pain it solves
Customer history, pricing, agreements and decisions locked in years of email
Built for
CIO, plus Sales and Marketing, with Legal or Compliance signing off
Ask in plain language and get the email the answer came from
PDFs, spreadsheets and presentations in attachments are read too
Access is set per mailbox, with personal data handled at ingestion
How it works
From your files to a trusted answer.
Four stages run continuously, so the Corporate Brain stays current and its quality stays measurable.
Step 1
Connect
Plug in what you already have.
Email and PST archives
SharePoint and file storage (S3, Azure, OCI)
Uploads and scheduled refresh
Updates when content changes
Step 2
Understand
Read it the way a person would.
PDFs, Word, scans, tables, images
Finds by meaning and by exact words
Personal data detected and masked
Email threads and attachments kept together
Step 3
Answer
Respond with evidence.
Finds the right passages and drafts
Checks the draft; searches again if weak
Cites every claim
Declines out-of-scope questions
Step 4
Improve
Measure and tune.
Answers scored on your own data
Every question traced step by step
User feedback captured
Cost and speed tracked
Behind each answer
Answers come from a self-correcting pipeline, not a single model call.
01FindSearches by meaning and by exact words, only in content this person may see.
02DraftWrites the answer from those passages, with a citation for each claim.
03CheckTests the draft against the sources. If it is not supported, it searches again or declines.
How it compares
More than search, safer than a chatbot.

Questions Knowledge Hive answers every day
Use case
Who benefits
What changes
Policy and compliance Q&A
Front line, risk, compliance
Plain-language questions get answers with the clause cited, from current approved documents.
Customer and operations support
Service and operations desks
Consistent, sourced replies drawn from procedures and past cases.
Email and archive search
Sales, legal, audit, due diligence
Years of email and files become searchable by meaning, with access rules respected.
Onboarding and internal help
HR, IT, new joiners
One place to ask, instead of five wikis and a colleague.
Trust
Built for sensitive knowledge.
The controls that matter in regulated work are part of the platform, not an add-on.
Access mirrors the source
Document-level permissions, denied by default. SharePoint permissions carry through, so people never see more than they should.
Personal data masked
National IDs, account and card numbers and contact details are detected and masked as content is ingested.
Guardrails on every question
Prompt-injection attempts and out-of-scope questions are caught before they reach the model.
Quality you can prove
Answers are scored for grounding, and evaluation runs on your own documents — so you see accuracy before you rely on it.
A trace for every answer
See what was searched, what was used and which model answered. Costs are tracked per model.
Your infrastructure, your model
Runs in your cloud account or data centre, on commercial, open-source hosted or self-hosted models through one gateway.
The 30-day pilot
Prove it on your data in 30 days.
A fixed-scope pilot on one knowledge area, with success measures agreed at kick-off — so you see answer quality on your own content before you commit further.
One knowledge area — for example HR and policies, or SOPs — from one source, such as a SharePoint site or library, or one email source.
A chat assistant for a named pilot group that gives sourced answers and respects existing access permissions.
Deployed your way — on your cloud tenant or AI3X-hosted, whichever you choose.
A success review on day 30, using the measures agreed at the start.
No. Knowledge Hive sits on top of SharePoint and the systems you already run. Content is connected and indexed where it lives, and refreshed on a schedule or when it changes.
Where does it run, and where does our data go?
In your cloud account (AWS, Microsoft Azure, Google Cloud or Oracle Cloud) or your data centre, as a dedicated instance for your organisation. Documents, indexes, memory and traces stay in your infrastructure. For a pilot you can also choose an AI3X-hosted environment.
Which AI models does it use?
Your choice: commercial models (OpenAI, Anthropic Claude, Google Gemini, Mistral, xAI), open-source models hosted for you, or models you host yourself — one for everything, or a mix by task. You can switch as the field moves without rebuilding.
Will people see documents they shouldn’t?
No. Access is denied by default and every passage carries the permissions of its source. The index is filtered by the asker’s identity at question time, so a person can only ever retrieve what they are entitled to see.
What happens when the documents don’t have the answer?
It says so. Every draft is checked against its sources; if the evidence is weak it searches again or declines, rather than guessing.
Which file types does it read?
PDF, Word, spreadsheets, presentations, images and scans, and email archives (PST) with threads and attachments. Tables and figures are read with layout awareness, and images are interpreted with a vision model.
What does the email use case need from us?
One email source you choose — a shared inbox such as info@ or sales@, a department’s mailboxes, or a central archive — a named user group, and access rules set per mailbox. Week 1 of an email pilot includes a privacy review with your legal or compliance lead.
